Scope creep is the number one reason projects fail
Most project failures aren’t caused by poor execution — they’re caused by a scope that grew 30-50% without corresponding increases in timeline or budget. The explicit ‘out of scope’ section in this prompt forces the team to agree on what won’t be built before the project begins. That agreement prevents the most common project management failure mode.
Acceptance criteria make milestones real
A milestone that says ‘development phase complete’ is subjective — two team members can disagree on whether development is truly complete. A milestone with acceptance criteria — ‘all user stories in Sprint 4 pass QA and are deployed to staging’ — is objective and binary. This specificity prevents the death-by-a-thousand-compromises that blurs project progress.
The RACI matrix resolves decision-making conflicts before they happen
Most team conflicts aren’t about disagreements on direction — they’re about ambiguity over who has the authority to make a decision. The RACI matrix gives every key decision a single Accountable person (the one who answers if the decision turns out wrong). One ‘A’ per decision, always — which is why the prompt enforces it as a constraint.
