ChatGPT Prompts for Sales Follow-Up: Stop Getting Ghosted
ChatGPT prompts for sales follow-up emails and messages that get replies. Multi-touch sequences, breakup emails, and re-engagement tactics for B2B pipelines.
The Prompt
Act as a senior account executive with a consistent 35%+ win rate on warm pipeline.
Write a follow-up message for:
Prospect: {name, role, company}
Original conversation: {what was discussed — meeting, email, demo, proposal}
Time since last contact: {X days/weeks}
Where they are in the pipeline: {stage — e.g. proposal sent, demo done, contract out}
Known blocker or reason for silence: {budget / timing / internal decision / unknown}
Your goal for this follow-up: {re-engage / get a decision / overcome specific objection / introduce executive sponsor}
Follow-up approach — select one:
Option A — Value bump: add something new (stat, case study, product update, relevant news)
Option B — Direct ask: acknowledge the silence, ask one clarifying question
Option C — Breakup: give them an easy out, reduce pressure, make it easy to say "not now"
Output for each option:
- Subject line (or message opener for LinkedIn DM/phone)
- Body (under 100 words)
- Expected response type this message is designed to generate
Constraints:
- No "just checking in" or "following up on my previous email"
- No guilt language ("I've sent several emails...")
- Breakup email must actually offer a clear exit — don't fake the breakup
- Value bump must add genuinely new information, not restate the original pitch
Variables to fill in
-
{original conversation}What happened in the last touchpoint -
{time since last contact}How long they've been silent -
{pipeline stage}Where this deal sits in your pipeline -
{known blocker}What you think is preventing progress -
{follow-up goal}What you want this specific message to achieve
How to use this prompt
- Use Option C (breakup) for any deal silent for more than 14 days — it reliably generates responses
- Use Option A when you have a genuine new data point — a relevant case study or product update
- Use Option B when you need a decision and the deal has been stalled without explanation
- Log which option worked for which scenario to build your personal playbook over time
The breakup email is a psychology play, not a surrender
When a prospect goes silent, pressure increases their resistance. Removing pressure — ‘I’ll take this off my list unless you’d like to continue’ — often generates an immediate response from people who were planning to reply ‘eventually.’ The prompt’s Option C is engineered for exactly this effect.
‘Just checking in’ destroys reply rates
Analysis of 11M+ sales emails shows that ‘just checking in’ and ‘following up on my previous email’ are the two phrases most correlated with zero replies. They add zero value and signal zero effort. Every follow-up must add something — even if it’s just a different framing of the original value.
The right follow-up frequency depends on stage, not time
A prospect who just saw a demo should be followed up within 24 hours. A prospect who received a proposal should be followed up in 3-5 business days. Time-based rules ignore the deal stage — this prompt asks for the pipeline stage first so the urgency and tone match where the buyer actually is.
